What it handles

The calls your team can't always get to

It works alongside your front desk rather than replacing it. You decide which calls it handles, what it says and when it hands over to a person. We set it up, test it with you and review the calls with you every month.

01

Out of hours, lunch and busy mornings

Evenings, weekends, lunch breaks and the first hour of the day, when the phone rings while the desk is checking patients in.

02

New patient enquiries

Takes the caller's details and reason for the visit, explains what you offer and books the first appointment using your booking rules.

03

Changes and cancellations

Moves or cancels existing appointments and offers the next free slot, so the gap can be filled instead of left empty.

04

Routine questions

Opening hours, location and parking, payment options and the treatments you offer. It only gives answers you have approved.

05

Urgent calls passed to a person

Pain, swelling, bleeding or trauma follow your emergency rules: a transfer to your on-call number or an urgent call-back flag. It never gives clinical advice.

06

A summary of every call

Your team gets a short written note for each call: who called, why, what was booked and what still needs a person.

  • Call recording is announced whenever it is switched on
  • Your greeting, practice name and approved answers
  • Booking rules per treatment: length, clinician, new or existing patient
  • Complaints and emergencies always go to a person
  • Patients keep dialling the number they already know
  • Bookings go into your practice system or a shared calendar, confirmed with you on the demo call
  • A monthly review of calls, bookings and hand-overs

Compliance

Patient data and call rules come first

Healthcare calls carry legal duties. These are the ones we plan around before anything goes live.

United States: HIPAA

A practice that shares patient information with a vendor needs a signed Business Associate Agreement. We confirm in writing, before set-up, how patient data is handled and which agreement covers it.

United Kingdom: UK GDPR

Health information is special category data. A data processing agreement and a clear lawful basis must be in place before any patient data is processed.

Call recording

Some US states require every party to agree to a recording, and UK callers must be told. The assistant announces recording at the start of the call whenever it is on.

No outbound AI calls without consent

In the US, AI-voice calls to patients need prior express consent under the TCPA. We don't set up outbound AI calling without it.

FAQ

Common questions

See pricing and security.

Will patients know they are talking to an AI?

Yes. The assistant says so at the start of the call, and a caller can ask for a person at any time. If nobody is free, it takes a message and flags it for a call back.

Does it replace our receptionist?

No. It covers the calls your team can't take: out of hours, at lunch and when the line is busy. It can also take routine bookings so staff can focus on patients at the desk.

Which practice management software does it work with?

We only name systems we have connected and tested. Tell us which software you use and we will confirm on the demo call whether bookings can go straight into it or into a shared calendar your team confirms.

What happens with dental emergencies?

The assistant does not give clinical advice. Calls about pain, swelling, bleeding or trauma follow your emergency rules: a transfer to your on-call number, an urgent call-back flag, or telling the caller to contact emergency services when needed.

How much does a dental AI receptionist cost?

It depends on your call volume, opening hours and number of locations. The pricing page explains what affects the price, and you get a written quote after the demo call.

Find out how many calls you are missing

On a 15-minute call we look at when your phone goes unanswered and show how the assistant would handle those calls for your practice.
